Why photo galleries get deleted — and how to stop it happening
Photo galleries get deleted because most delivery platforms treat a delivered gallery as reclaimable storage — when a quota or retention job runs, already-delivered client work is a candidate for purging. The fix is structural: use a platform where a gallery that has been shared is permanently excluded from every automated deletion job. This is the single most important reliability decision a working photographer makes, and it’s why EU-native, permanence-first delivery exists.
The three ways a gallery disappears
- Storage-policy purges. The reputation-ending one. A host deletes delivered galleries to free space, often with little warning. This has genuinely happened to photographers — a delivered wedding gallery gone over an opaque “storage policy”, and the photographer left explaining it to the couple.
- Expiry timers. Galleries set to auto-expire after 30, 90 or 365 days. Convenient for the platform’s storage bill, terrible when a couple comes back for an anniversary reprint two years later.
- Failed or corrupt uploads that were never really there. A gallery can be “missing” because the upload never completed intact — a dropped connection mid-batch, a silently corrupted file. If a platform marks files done before verifying them, you find out at download time.
How to stop it
- Choose the delivered-gallery invariant. The rule that matters: once a gallery has a live share, no automated quota or retention job can remove it. Storage limits should block new uploads and warn you in-app — never delete delivered work. This is a structural guarantee, not a support promise.
- Insist on verified uploads. Resumable, checksum-verified uploads mean a file isn’t “done” until it’s provably intact. A dropped connection resumes; a checksum mismatch pages the platform, not you. Nothing arrives half-broken and silently rots.
- Keep data in a jurisdiction you trust. EU data residency plus a real backup policy means the copy exists, in the EU, and stays yours. Ask any platform where delivered galleries physically live and what job could ever remove them.
- Own the permanence promise in writing. The strongest platforms put it in a launch gate: no automated job can remove a delivered gallery. If a vendor can’t say that plainly, assume your delivered work is reclaimable.
The test to run before you switch
Ask a prospective platform three questions: Can any automated job delete a gallery I’ve already delivered? What happens when I hit a storage limit — do you block new uploads or remove delivered work? Where, physically, is the data stored? The answers separate a delivery tool you can trust with wedding galleries from one that treats your life’s work as disk space.
